We are seeking an exceptional Board Secretary to join the Board Secretariat team in a fast-paced business support capacity. This diverse role combines executive assistant responsibilities with board coordination. Located in the heart of Auckland CBD, this opportunity is with a prominent government organisation.

Tō tūranga hou | Your new role

  • Develop and maintain the Board and Sub-committee meeting process from the agenda preparation phase to the final minute filing and debrief meeting phase.

  • Record, draft and review minutes and distribute them to the relevant Chairs for review. Once finalised, distribute the minutes to the Directors / Committee members via Diligent.

  • Development of Governance Forward Planners and meeting workplans for the Board and all Board sub-committees.

  • Develop all meeting agendas.

  • Record and track actions and report progress at subsequent meetings.

  • Assist with Director onboarding and off-boarding, including development of new Director induction programme.

  • Must have proven expertise in Board Governance and Secretariat roles within either the private or public sector.

  • Skilled in accurate and efficient minute-taking.

  • Advanced proficiency in Microsoft Office Suite, including Outlook, Word, PowerPoint, and Teams.

  • Experienced in using SharePoint and board document management software solutions.
